Key Takeaways

  • ZingHR, Darwinbox, Keka, greytHR, PeopleStrong, HROne, HONO, Zimyo, SAP SuccessFactors and Workday are the 10 HR software platforms compared in this guide.
  • ZingHR offers a user-friendly HR platform with centralized features for employee records, payroll, leave, and attendance, with a mobile app that gives employees and managers access to key HR tasks on the go. Darwinbox focuses on large, distributed workforces, while Keka focuses on HR and performance management.
  • The shortlist was evaluated on statutory compliance, scalability and architecture, ease of use, pricing and value, AI and analytics, and support and implementation.
  • These HR software platforms help Indian businesses reduce payroll and compliance errors, automate routine HR work, improve employee self-service, support people decisions, and manage growth across locations.
  • ZingHR fits mid-market and enterprise teams looking for multi-state compliance, HR, payroll, and people data on one platform, with support for multi-entity and multi-country operations.

Indian payroll changed on 21 November 2025. That day, four Labour Codes replaced 29 older labour laws. Under the new wage rule, basic pay must be at least 50% of total pay. That one change raises PF and gratuity for most employees.

The Central Rules for all four Codes were notified on 8 May 2026. Each state is now adding its own rules. So your payroll has to follow a national rule and a different local rule in every state you operate in.

But there are over 60 HRMS software in India, and they are not equal. Some handle multi-state compliance well. Some stop working well past a few hundred employees. Some look cheap until you add modules.

We compared the 10 best HR software in India on price, statutory compliance (PF, ESIC, PT, TDS and the Labour Codes), ease of use and the company size each one fits. Start with the table, then read the reviews for the tools on your shortlist.

How Did We Compile This List?

We started with over 60 HR platforms sold in India. A tool made the shortlist only if it met three rules:

  2. It covers core HR beyond payroll: attendance, leave, employee records and self-service.
  3. It has a real base of Indian customers and verified user reviews.

We then scored the 10 finalists on six factors:

Its 35+ modules were built in-house by one team, on one codebase and one database. Payroll, attendance, performance and engagement therefore work from the same employee record. The platform also provides a user-friendly experience and mobile access, giving employees and managers a way to complete key HR tasks on the go.

Over 1,200 companies and 2.8 million active users run on ZingHR across India, the Middle East and Southeast Asia. It supports 26+ languages and has ready-made setups for 12 industries, including BFSI, manufacturing, IT-ITES, retail, pharma and healthcare.

On Gartner Peer Insights, ZingHR is rated 4.7 out of 5 from 292 verified reviews in the Cloud HCM Suites for 1,000+ Employee Enterprises market. Gartner also named it a 2024 Customers' Choice.

ZingHR's Key Features

  • Automated payroll and statutory compliance: ZingHR automates salary calculations and state-specific PF, ESIC, PT and TDS processing. Attendance data flows directly into payroll, reducing manual reconciliation before each payroll run. Its ZingZeroTAP capability is designed to automate these recurring payroll and attendance processes across locations and pay structures.
  • Workforce analytics and proactive HR insights: Ghrowth.ai brings HR, Finance and Operations data together to identify workforce trends such as attrition risk, compliance exposure and performance patterns. This gives CHROs and CXOs a consolidated view of workforce issues that would otherwise require data to be pulled from multiple systems.
  • Recruitment, onboarding and talent management: ZingHR supports the employee journey from hiring through onboarding, performance and succession planning. Its talent capabilities include AI-ranked candidate shortlists, cognitive assessments, personality profiling, digital onboarding and offer management. The succession planning tools help organisations identify critical positions, map skills and plan talent redeployment.
  • Employee engagement and self-service: ZingHR gives employees access to tools for everyday HR interactions, including an HR chatbot, pulse surveys, continuous feedback, rewards and recognition. These capabilities help employees handle routine requests while giving HR teams visibility into engagement trends across the workforce.
  • Unified HR data across locations and functions: ZingHR's 35+ modules share one employee record, allowing payroll, attendance, performance, engagement and other HR processes to work from the same underlying data. For organisations operating across multiple locations or entities, this creates a consistent workforce data layer for reporting and decision-making.

2.  Darwinbox

Best for: Mid to large enterprises requiring AI-enabled analytics and digital onboarding

Company size: Enterprise

Starting price: Custom quote

Darwinbox is a cloud HR platform built for large businesses across Asia. Its AI analytics and face-recognition attendance suit companies with many sites and field teams.

Users value its self-service portal, 360-degree reviews and real-time dashboards. Some note that its payroll module is lighter than India-focused payroll specialists. Setup for large organisations can also take time.

Darwinbox's Key Features

  • AI-Enabled HR Analytics: Darwinbox's analytics engine provides predictive insights on attrition risk, workforce planning, and engagement trends. Dashboards are configurable by role, allowing CHROs and line managers to access the data most relevant to their decisions.
  • Face Recognition Attendance: The platform supports face-recognition-based attendance marking, eliminating buddy punching and proxy attendance. This is particularly useful for manufacturing, retail, and field-operations environments.
  • 360-Degree Performance Appraisal: Performance reviews incorporate feedback from peers, managers, direct reports, and self-assessment. The 360-degree approach provides a balanced evaluation and reduces bias in annual or quarterly review cycles.

Darwinbox's Pros

  • Employee self-service portal effectively handles PTO and attendance verification
  • Intuitive, user-friendly interface with strong mobile-first design
  • Comprehensive employee lifecycle management across geographies

Darwinbox's Cons

  • Implementation and setup can be time-intensive for large organizations

3. KekaHR

Best for: Small and mid-sized teams building a performance-driven culture

Company size: Small business, Mid-market

Starting price: ~₹6,999–₹9,999/month for up to 100 employees

KekaHR aims to simplify and automate HR operations while placing employee experience at the centre. It is known for a clean interface that employees learn quickly. Payroll, OKRs and pulse surveys sit in one place.

Attendance flows straight into payroll, so HR does not re-enter hours. A built-in helpdesk handles employee questions. Note that Keka charges a flat fee for up to 100 employees, so very small teams pay for unused seats.

KekaHR's Key Features

  • OKR and KPI Performance Tracking: KekaHR supports both OKR (Objectives and Key Results) and traditional KPI frameworks. Managers can set goals, track progress, and link individual performance to department-level objectives, creating visibility into how each employee contributes to business outcomes.
  • Payroll with Statutory Compliance: The payroll engine automates PF, ESIC, PT, and TDS calculations, processes salary disbursements, and generates compliant payslips. Attendance data syncs directly to payroll for accurate calculations, removing the most common source of payroll errors.
  • Pulse Surveys for Engagement: KekaHR's built-in pulse survey tool enables HR teams to measure employee sentiment at regular intervals. Results feed into engagement dashboards where trends can be identified by team, location, or tenure segment.

KekaHR's Pros:

  • Seamless payroll with statutory compliance and direct attendance-to-payroll sync
  • Intuitive UI that significantly reduces training time for new users
  • Centralized helpdesk feature to handle employee queries from one hub

KekaHR's Cons:

  • No file management system with shared access within the company
  • Integration with some third-party tools can be clunky

4. greytHR

Best for: Small and mid-sized businesses that need reliable, payroll-first compliance

Company size: Small business, Mid-market

Starting price: Free up to 25 employees; paid plans from ~₹2,495/month

greytHR offers reliable payroll processing with deep Indian statutory compliance, handling salary calculations, tax deductions, payslips, PF, ESIC, and PT accurately.

Many users highlight that greytHR's interface is smooth, fast, and practical for daily tasks such as marking attendance, downloading payslips, and checking tax details. The free plan lets small teams try it before paying. Larger companies with complex reporting or custom workflows may find it limited.

greytHR's Key Features:

  • Statutory Compliance Engine: greytHR automates PF, ESIC, PT, and TDS calculations with state-specific rule sets. The compliance engine updates automatically when government regulations change, reducing the risk of penalties from manual miscalculations.
  • Payroll Processing: The payroll module handles salary computation, arrears, bonuses, reimbursements, and full-and-final settlements. Integration with attendance data ensures that payroll calculations reflect actual working days and overtime automatically.
  • Employee Lifecycle Management: From offer management through onboarding, performance reviews, and exit processing, greytHR tracks the complete employee lifecycle. This provides HR teams with a single, continuous record for each employee rather than fragmented data across systems.

greytHR's Pros:

  • Globally trusted with a strong reputation in the Indian market
  • Saves significant time during payroll with accurate salary calculations, tax deductions, and compliance
  • Good for multi-location setups requiring consistent payroll processing

greytHR's Cons:

  • Customer support delays reported during peak periods

5. PeopleStrong

Best for: Large Indian and APAC enterprises, GCCs and blue-collar-heavy workforces

Company size: Enterprise

Starting price: Custom quote

PeopleStrong is one of India's oldest enterprise HCM platforms, founded in 2005 and headquartered in Gurugram. Its payroll covers India plus several APAC and MEA markets, with a full outsourcing option. BFSI, large retail, manufacturing and GCCs are its core buyers.

It publishes no list pricing and offers no self-serve trial. Enterprise rollouts run over several months, and reviewers note the desktop interface offers too many routes to the same task.

PeopleStrong's Key Features

  • Multi-Country Payroll with a Services Layer: PeopleStrong covers Indian statutory payroll alongside several APAC and MEA geographies, supported by a payroll Centre of Excellence. Organisations can run payroll in-platform or outsource the processing entirely, which suits enterprises consolidating scattered country payrolls under one vendor.
  • AI-Assisted Talent Acquisition: The recruitment suite uses AI to source, screen and rank candidates, with workflows built for high-volume hiring. This is the module PeopleStrong is most frequently cited for, particularly by retail and manufacturing employers running continuous frontline hiring.
  • Skills, Career and Succession Framework: PeopleStrong maps employee skills and career interests to internal opportunities, feeding succession planning and internal mobility. For large organisations, this gives HR a structured view of bench strength rather than a static org chart.

PeopleStrong's Pros

  • Two decades of India enterprise HR experience, with recognisable large-cap customers
  • Payroll coverage extends beyond India into APAC and MEA, with an outsourcing option
  • Strong recruitment and talent acquisition depth for high-volume hiring

PeopleStrong's Cons

  • No published pricing and no free trial, so evaluation requires entering a sales cycle
  • Enterprise implementations typically run over several months before go-live
  • Verified reviewers report the desktop interface offers too many paths to complete a single task

6. HROne

Best for: Mid-market Indian companies that want India-native payroll with a fast rollout

Company size: Mid-market

Starting price: Quote-based per employee per month; free trial available

HROne is a mobile-first HCM built in India and launched in 2016. It is known for an inbox-style interface that turns pending HR work into a task queue rather than a set of menus. Its compliance is designed for India specifically: state-wise PT slabs, LWF rules, Form 24Q and Form 16.

Go-lives are fast, with retail customer MR DIY India cited at 30 days. It does not publish per-tier rates. Analytics and multi-country coverage are lighter than the enterprise suites on this list.

HROne's Key Features

  • Inbox-Style HR Workflow: HROne organises pending approvals, requests and tasks into a single actionable inbox for HR and managers. This reduces the number of screens a manager has to visit to clear a day's HR work, which is a meaningful driver of adoption in mid-sized teams.
  • India-Native Payroll and Compliance: The payroll engine handles PF, ESIC, state-wise Professional Tax, Labour Welfare Fund and TDS, and generates Form 24Q and Form 16 from the same records. Statutory updates are shipped as Indian state rules change.
  • Mobile Attendance and Self-Service: Employees mark attendance through the mobile app with geo-tagging or biometric integration, apply for leave and download payslips without routing requests through HR.

HROne's Pros

  • India-first compliance design, including state-wise PT and LWF handling
  • Fast implementations relative to enterprise suites, with documented 30-day go-lives
  • Well rated by verified reviewers on features, at 4.4 out of 5 on Capterra

HROne's Cons

  • No published list pricing, so costs require a quote
  • Limited multi-country payroll depth compared with APAC and global platforms
  • Analytics and reporting are lighter than enterprise-grade HCM suites

7. HONO

Best for: Enterprises that want conversational, AI-first HR self-service

Company size: Mid-market, Enterprise

Starting price: Custom quote, priced by module

HONO is an AI and ML-led HCM founded in 2016, with customers across India, MENA and Southeast Asia. Its chat-first interface lets employees complete HR tasks in natural language instead of navigating menus. Underneath sits a full suite, from recruitment through payroll and analytics.

It is newer and smaller than the established Indian platforms, so the verified review pool is thin. Reviewers cite broad features but also occasional navigation and login friction. Pricing is quote-only.

HONO's Key Features

  • Chat-First Conversational HRMS: Employees complete HR tasks by typing what they need instead of locating the right module. The conversational layer also resolves routine employee queries automatically, cutting the volume of tickets that reach the HR team.
  • Generative AI Across the Lifecycle: HONO applies generative AI to approvals, workflow automation and employee support, and uses predictive analytics to surface retention and headcount signals rather than only reporting them after the fact.
  • Multi-Country Payroll: Payroll runs across India, MENA and Southeast Asia from one platform, which suits Indian enterprises with a Gulf or ASEAN footprint.

HONO's Pros

  • Genuinely differentiated conversational and generative AI layer
  • Coverage across India, MENA and Southeast Asia from one system
  • Rated highly by verified reviewers on feature comprehensiveness and attendance management

HONO's Cons

  • Smaller verified review base than established Indian HRMS platforms
  • Reviewers report the interface is not always intuitive, with occasional login issues
  • No published pricing; costs depend on the module bundle selected

8. Zimyo

Best for: Growing companies that want HR and engagement tools in one app

Company size: Small business, Mid-market

Starting price: ~₹60–₹250 per employee/month, 40-employee minimum

Zimyo combines core HR and payroll with employee engagement. Over 2,500 organisations use it. Its payroll covers EPF, ESI, PT, TDS and the Labour Codes, with Form 16 and challans from the same run.

Its modern design appeals to younger teams. Some modules are still maturing, and users report occasional lag in payroll processing.

Zimyo's Key Features:

  • Employee Engagement Analytics: Zimyo provides engagement dashboards, pulse surveys, and sentiment analysis tools that help HR teams measure workplace satisfaction in real time. Managers can identify disengaged teams and intervene before attrition increases.
  • Travel Desk Management: An integrated travel desk module handles employee travel requests, approvals, and expense tracking within the HR platform. This eliminates the need for separate travel management tools for mid-sized organizations.
  • Workflow Automation Engine: Zimyo's automation engine allows HR teams to configure multi-step approval workflows for leave, expenses, onboarding, and offboarding. Each workflow can be customized by department, location, or role, reducing manual routing and approval delays.

Zimyo's Pros:

  • Modern, user-friendly UI that appeals to younger workforces
  • Comprehensive feature set that consolidates multiple HR responsibilities
  • Good automation for routine HR workflows and approvals

Zimyo's Cons:

  • Some modules are still maturing and may lack stability under heavy usage
  • Lag reported in payroll automation processing

10. Workday

Best for: Multinationals with an India footprint that already run Workday globally

Company size: Enterprise

Starting price: Custom quote

Workday HCM covers core HR, talent, workforce planning and analytics, sharing a data model with Workday Financials. It is among the highest-rated HCM suites by verified reviewers, at 4.5 out of 5 across more than 1,700 Capterra reviews.

India is not one of Workday's native payroll countries. But, Indian payroll runs through certified Global Payroll Connect partners such as Neeyamo and Ramco, so statutory compliance sits with the partner and the buyer carries a second contract. For an India-only workforce, that is overhead without a matching benefit.

Workday's Key Features

  • Unified HCM, Finance and Planning Data Model: Core HR, workforce planning and financials share one object model, so headcount cost, hiring plans and budgets reconcile without an integration layer between HR and finance.
  • Global Payroll Connect for India: Indian payroll is delivered through certified partners, with payroll inputs entered in Workday, progress tracked in Workday, and final results and statutory documents returned to Workday once payroll is approved.
  • Workforce Analytics and Skills Intelligence: Workday's analytics and skills cloud give large organisations real-time visibility into headcount, skills supply, internal mobility and attrition patterns across countries.

Workday's Pros

  • Best-in-class global core HR, planning and analytics
  • One platform across HR and finance for multinationals already on Workday Financials
  • Very strong verified user ratings, at 4.5 out of 5 from over 1,700 Capterra reviews

Workday's Cons

  • No native Indian payroll; PF, ESIC, PT and TDS are handled by a third-party partner
  • A second vendor contract and integration layer for India compliance adds cost and coordination
  • Licence, implementation and partner costs are sized for large multinationals, not India-only organisations

Cloud-Based vs On-Premise HRMS: Which Should You Choose?

All 10 tools in this list are cloud-based. That is now the norm: cloud HRMS accounts for more than 60% of new deployments in India.

Cloud-based HRMS On-premise HRMS
Where it runs Vendor's servers, accessed on web and mobile Your own servers
Upfront cost Low; monthly or yearly subscription High; licences, hardware, IT staff
Compliance updates Pushed by the vendor when rules change Your IT team must apply them
Remote and mobile access Built in Needs VPN or extra setup
Best for Most Indian businesses, from startups to enterprises Firms with strict data rules that must host everything in-house

‍

For most teams, cloud wins on cost and speed of compliance updates. On-premise still suits a few regulated firms with tight in-house hosting rules.

For a deeper look, read our guide to the best cloud-based HRMS software.

Benefits of HR Software in India

The right HRMS cuts payroll errors, saves HR hours and keeps you compliant as rules change. Here is what to expect.

1. Fewer payroll errors and compliance risks

Each Indian state has its own PT slabs, minimum wages and LWF rules. Doing this by hand across states is risky. HR software calculates PF, ESIC, PT and TDS for you, using the latest rules.

The Labour Codes raise the stakes. If basic pay falls below 50% of total pay, the extra allowance counts as wages anyway. Good HR software flags this before payroll runs.

2. Less work for a stretched HR team

75% of Indian businesses say they are short of payroll staff. HR software fills that gap. Attendance flows into payroll on its own. Leave approvals and payslip requests move to self-service.

3. A better employee experience

Employees can check payslips, leave balances and tax forms on their phones. They no longer wait on HR for simple answers. That builds trust and cuts HR tickets.

4. Better people decisions

Dashboards show headcount, attrition, hiring and engagement in real time. Leaders can spot problems early and plan hiring with real numbers.

5. Easy growth across locations

Cloud HR software handles new states, entities and even countries without adding HR staff. Each location's rules are built in.

Key Features to Look for in the Best HRMS Software in India

Most HRMS vendors list the same features. The real test is how deep each one goes. Ask these questions in every demo.

1. Statutory compliance and Labour Code readiness

The software must calculate PF, ESIC, PT and TDS by state. Ask: does it update rates on its own when rules change? Does it check the 50% wage rule? Can it produce audit-ready reports?

2. Attendance-to-payroll sync

This is the most valuable feature for most Indian firms. Attendance from biometric, GPS or app punches should feed payroll from the same data. That removes manual matching, the biggest source of pay disputes.

3. Employee self-service and mobile app

Employees should be able to view payslips, apply for leave and claim expenses from their phones. Test the mobile app on its own. Many tools have fewer features on mobile than on desktop.

4. Hiring and onboarding

Look for job posting, candidate tracking, interview scheduling, offer letters and digital onboarding. Regulated sectors like BFSI and pharma also need KYC and background checks in the flow.

5. Performance management

The tool should support OKRs, KRAs and 360-degree feedback. It should also allow ongoing check-ins, not just one annual review.

6. AI and analytics

72% of Indian organizations already use AI in their HR software. Look for AI that does real work, such as flagging payroll errors, predicting attrition or answering employee questions.

7. Data security and DPDP compliance

The DPDP Act 2023 governs how you store employee data. Check where data is hosted, how access is controlled, and how consent is recorded, especially for biometric attendance.

How to Choose the Best HR Software for Your Company

Headcount is the first filter, but not the only one. Two 300-person companies can need very different tools. One may run a single office in Bengaluru. The other may run shift workers in six states.

Ask these four questions before you book demos:

  1. How many states do you run payroll in? One state is simple for any tool. Several states mean different PT, minimum wage and LWF rules, so you need automatic rule updates.
  2. What kind of workforce do you have? Office teams do fine with app-based self-service. Plants, stores and field teams need biometric or GPS attendance that feeds payroll directly.
  3. Do you need payroll inside the HR tool? Some tools are payroll-first with thin HR. Others are HR-first and lean on a payroll add-on. Buying the wrong type means running two systems.
  4. How big will you be in two years? Switching HRMS is costly. A tool that fits at 80 people but caps out at 400 will cost more in migration than you saved on price.

Indian SMEs should prioritize five core features: (1) automated payroll with PF, ESIC, and TDS compliance, (2) attendance-to-payroll integration that eliminates manual data entry, (3) an employee self-service portal for leave, payslips, and document access, (4) leave and holiday management with automated approvals, and (5) clean HR reports for audits and management reviews. These features alone reduce administrative work by 15–20 hours monthly. Advanced capabilities like AI-powered recruitment, predictive analytics, and succession planning can be added as the organization scales.

Yes. Leading Indian HR software platforms like Zoho People, KekaHR, greytHR, and FactoHR integrate with accounting platforms (Zoho Books, Tally), banking APIs for salary disbursement, and government portals for statutory filing. ZingHR extends integration capabilities to ERP systems and third-party business intelligence tools used in enterprise environments. When evaluating HR software, verify that the platform supports automating payroll calculations with your existing accounting infrastructure to avoid data duplication and reconciliation overhead.

HR software brings core HR work into one system, including payroll, attendance, leave, onboarding, employee records, performance reviews, and statutory compliance. For Indian companies, a good HRMS should calculate PF, ESIC, PT, and TDS based on state and employee rules, so HR teams do not have to manage these checks through spreadsheets. Cloud-based HRMS gives HR teams, managers, and employees access to the same employee data through web and mobile apps. ZingHR extends this beyond daily HR administration with workforce analytics, planning, and compliance governance across multiple locations and geographies.

ZingHR is built specifically for organizations with 1,000+ employees operating across multiple geographies or business units. Three capabilities set it apart for large enterprises: board-level workforce analytics that give CXOs real-time visibility into headcount, attrition risk, and compliance exposure; Agentic Intelligence that goes beyond automation to enable proactive governance and strategic workforce decisions; and 30+ modules covering the full employee lifecycle, from talent acquisition and succession planning to payroll, learning, and engagement. ZingHR’s support for 26+ languages and its recognition as a Gartner Customers’ Choice make it a proven choice for BFSI, IT-ITES, Manufacturing, Retail, Pharma, and Public Sector organizations managing complex, distributed workforces.
